We, the Badan Pengurusan Bersama City Plaza, note that you have been appointed by the Developer, Hock Der Realty Sdn. Bhd., to conduct the 1st Annual General Meeting of the City Plaza Management Corporation according to the Strata Titles Act 1985 as per the Notice of Appointment attached herewith.

The Badan Pengurusan Bersama (JMB) was formed in 2008 and is presently managing the above property including collection of service charges. The Badan has no objection to your appointment to convene the 1st AGM.

Being a professional and Registered Property Management Company the Badan would like you to take strict notice of the following:-

1. You are to conduct meeting independently and professionally and strictly according to the provision of the Strata Title Act 1985.

2. As a registered management company, it is your duty to determine who is eligible and who is not to vote and to hold office according to the Second Schedule of the Strata Title Act. In this respect we would request you to liaise with us to determine the eligibility of the voters and obtain the full record of the debtors as of to date from the Developer & JMB.

3. At the AGM, one of the Agenda is the presentation of the Audit Accounts. Please ensure that the latest Audit Accounts of the Developer are distributed to all Registered Parcel Owners well before to the meeting.

4. We request for a complete transparency in the whole meeting and election process. The names of all Registered Owners, whether with outstanding or not, are to be displayed on the Notice Board prior to the meeting.


5. According to the Act, you are to give 14 days notice for the 1st AGM. Kindly ensure that this is followed.

We trust you will consider our request. There is a pending legal suit against the Developer by the JMB and we hope that when the Management Corporation is properly and legally formed, the property can be properly managed thereafter.
